The Massey Community Hub Community Hub provides a space for residents to connect, socialise, learn & participate. There are two rooms available for hire as well as a kitchen and fully fenced garden area between 9am - 11pm 7 days a week. The building is wheelchair accessible and can accommodate groups of up to 80 people.

Manutewhau Community hub

Address: 74B Oreil Ave, West Harbour

The Manutewhau Community Hub is a purpose-built community space located next to the West Harbour primary school. It offers four rooms for hire as well as a fully registered commercial kitchen, fully fenced patio and garden area. The building is wheelchair accessible and can accommodate groups of up to 50 people.

Massey Matters Terms and Conditions of Hire

1. Bookings

1.1 Your booking is not confirmed until:

  • The contract is signed and a copy of your driver’s license (or other identification) are returned and approved by a Massey Matters Hub Manager.

  • We have received full payment into our account. Please note the following bank details for each hub:

    • Manutewhau Hub: ASB Westgate - Massey Matters - 12-3085-0444535-01

    • Massey Hub: ASB Westgate - Massey Matters - 12-3085-0444535-00

  • Please use your organisation’s name and event date as reference, e.g., "ABC Class Tuesday 7pm".

1.2 A $100 bond will be required for Casual Hirers and After-Hours Bookings for Regular Hirers. This $100 bond must be paid in cash or bank transfer to confirm your booking.

1.3 Massey Matters reserves the right to have a team member present at any time during your event. Massey Matters may also refuse admission to any person, or require any person attending the event to leave the facility at its discretion.

1.4 The Hirer must precisely state the type of activity to take place and use the facility only for that purpose.

1.5 The Hirer must use only the area in the facility that has been booked, confirmed and paid for.

1.6 Any changes that the Hirer wishes to make to the booking such as times, contacts or addresses must be communicated to Massey Matters immediately.

1.7 Setup and pack down times must be included in the hire period. The Hirer must adhere strictly to the confirmed hiring hours. The Hirer shall ensure that all persons have vacated the facility by the end of the hire period. Failure to do so will incur additional charges and possible cancellation of any future bookings.

1.8 For Regular Hirers, we can hold your regular booking/s for up to two weeks at a time, and thereafter you will be required to pay 30% of the agreed total room hire rate (plus GST) to continue to hold that booking space/time.

1.9 Audio Visual TV Hire: TV monitors are available to hire in the main rooms. The rate for hire is $50, which covers the duration of your booking on a single day.

  • 1.9.1 Any loss or damage of the remote control or HDMI cable will be deducted from the bond.

  • 1.9.2 A secure box is provided for the return of the remote control and HDMI cable at the end of the hire.

2. Cleaning, Rubbish and Lock up

2.1 The Hirer is responsible for ensuring that the hired space is left clean and ready for the next user. Basic cleaning equipment will be provided so please ensure you:

  • Wipe down benches, tables, stoves and sinks.

  • Put away any dishes used.

  • Remove all decorations.

  • Vacuum/mop floor area used.

  • Remove all your rubbish off site both inside and outside. DO NOT use hub rubbish bins to dispose of your waste.

  • Leave all equipment and furnishings in the facility, including car parks and adjacent premises, in a good clean and tidy order.

2.2 The Hirer must secure the facility after the function (failure to do so may result in additional charges and/or loss of bond) in particular:

  • Switch off all electrical appliances, lights, heaters and stoves.

  • Ensure that all windows and doors are secure.

  • Ensure that the alarm is set and activated.

3. Payment and Bond

3.1 All fees and charges quoted apply at the time of booking but may vary as fees and charges will be reviewed by Massey Matters. You will be advised no less than two weeks prior to your booking should price reviews affect your booking.

3.2 All fees and charges quoted, except the bond, are GST exclusive.

3.3 Casual Hirers are required to pay a $100 BOND upon lodgement of this Contract to Hire at our Massey Matters Hubs. Hirers are then required to email a screenshot confirming each payment. The FULL HIRE amount is required to be paid at least 3 days prior to your booking; your access key/code will be issued when this bond has been received.

3.4 The bond is refunded to the Casual Hirer on the next refund round (fortnightly) if no additional charges have been incurred. Massey Matters will request relevant bank account details on the next working day to ensure you receive your bond refund as swiftly as possible. The bond paid via bank deposit may take up to 10 working days to be refunded dependent upon the time in which the bank account details are received.

3.5 As a Regular Hirer please advise Massey Matters immediately should you anticipate difficulty paying your account as agreed in your Contract to Hire form.

4. Additional Charges

4.1 Massey Matters reserves the right to expend the venue hire bond payment part thereof to cover the replacement of any missing items, damage to the premises or additional cleaning requirements. In the case of repair being needed at a cost greater than the venue bond, the Hirer will be invoiced for that amount.

4.2 If a fire alarm is set off by any prohibited activities, Massey Matters reserves the right to impose an additional fire service fee of up to $1500 + GST and the Hirer held liable for the full amount.

4.3 If noise control units were sent to the facility while a hirer is utilising it.

4.4 If the security alarm is set off Massey Matters reserves the right to impose an additional call out fee of up to $250 + GST and the Hirer held liable for the full amount.

4.5 If any theft or damage of Massey Matters property from the facility during the hire period, if you arrive and see damage please advise your Hub contact immediately or you may be liable for any incurred charges.

4.6 Any extra cleaning, rubbish removal, repair or reinstatement of the facility which Massey Matters considers is required after the event will incur a fee of $50 per hour.

4.7 Any costs, losses or expenses that Massey Matters incurs due to any breach of the Terms and Conditions outlined in this agreement. The Hirer will be liable for these charges.

4.8 Any emergency services call out or fire alarm activation for a non-emergency situation.

4.9 Massey Matters reserves the right to invoice the Hirer for any additional charges resulting from the Hirers use.

4.10 For late bookings that occur within 72 hours of booking date there will be an additional $50 admin fee.

4.11 For regular hirers, there will be a fee for not adhering to the hub contract around additional cleaning after hire. The fee will be between $50 - $100 and this will be determined depending on the conditions that were not adhered to. Massey Matters will ensure sufficient photos and evidence and an invoice is sent within 24 hours Monday-Friday or 48 hours if hire falls on a weekend.

5. General Conditions of Use

5.1 All Hirers must be a legal entity. Massey Matters reserves the right to ask for proof of legal entity. A legal entity is a registered group or individual who has capacity to:

  • Enter into agreements or contracts

  • Assume obligations

  • Incur and pay debts

  • Be accountable for illegal activities

5.2 The person who makes the booking (or their representative as notified to Massey Matters) is required to be present for the duration of the event that the facility is booked for.

5.3 The stated capacity of the facility must not be exceeded at any time. It is the Hirer’s responsibility to understand the capacity and ensure it is not exceeded.

  • Massey Community Hub: Garden View Room (80 people), Park View Room (30 people)

  • Manutewhau Community Hub: Mana Room (30 people), Hui Room (15 people), Aroha Room (4 people). Venue must not exceed 50 people.

5.4 Massey Matters reserves the right to make changes to the capacity of the above facilities at any time in accordance with Auckland Council and New Zealand Government guidelines to ensure the health and safety of all Hirers.

5.5 The Hirer must not remove or permit the removal of any furniture, equipment or other contents from this facility without the permission of Massey Matters. Failure to comply will result in additional charges.

5.6 Massey Matters does not accept responsibility for the loss or damage to Hirers property. Any equipment/property left in the facility is at the Hirers own risk.

5.7 The Hirer must not allow any illegal activities to take place in or outside the facility during hire period.

5.8 The Hirer must ensure that absolutely NO Alcohol Consumption, Smoking or Vaping happens in the venue or surrounding areas.

5.9 The Hirer must ensure that the respective noise levels are not exceeded during the event.

5.10 The Hirer must ensure that a parent or designated caregiver, who is at least 18 years of age, accompanies all children under the age of 10.

5.11 The Hirer must be familiar with the fire evacuation procedures in case of a fire.

5.12 All equipment including electrical appliances are used at your own risk.

5.13 The Hirer must ensure that the management or control of any activity for which the hub is being hired is not deficient. In terms of children’s safety, it must comply to the Vulnerable Children’s Act 2014.

6. Health and Safety

6.1 General Health: Please ensure all attendees at your event/booking are well. If a participant is unsure about whether they are able to attend your activity or have any questions in regards to their health, they should call their GP or Healthline on 0800 358 5453.

6.2 Cleaning: Hirers will be required to follow specific cleaning instructions before and after your hire usage to ensure thorough cleaning guidelines are upheld. Cleaning kits and instructions will be available in each room to utilize.

6.3 The Hirer, must ensure the health and safety of all persons attending their event. Failure to comply with these health and safety conditions may result in the cancellation of your hire agreement effective immediately. The Hirer will take full responsibility for any health and safety issues related to the use of items such as bouncy castles, gazebos, cooking devices (BBQ’s) and sport or games’ equipment.

6.4 Electrical Devices: Any Electrical plug-in devices belonging to hirers must be tagged and tested by hirers prior to using at both hubs. Any damage to devices or hub spaces as a result of untested and tagged appliances is the responsibility of hirer and may incur charges to cover damage repair costs.

7. Parking

7.1 The Hirer shall ensure that no vehicle obstructs access in any way, or contravenes any restricted parking signs.

7.2 Manutewhau Community Hub Carpark: all cars must be out of the car park before 10.30pm Sunday – Thursday and 12.30am Friday/Saturday. Do not park in the school carparks, additional parking is available on Oreil Ave.

7.3 Massey Community Hub Carpark: this is a shared carpark with Triangle Park users. All cars are parked at the Hirer’s own risk and Massey Matters accepts no responsibility for any damage or unintentional impounding caused to cars.

 

8. Cancellation

8.1 If the Hirer wishes to cancel your booking/s, you must give 5 working days’ notice of cancellation otherwise the Hirer will be charged for the full room hire amount of the booking/s they have made.

8.2 Hirers are aware and understand that any refund related to room hire payments can take up to 10 working days to be refunded.

8.3 Massey Matters can, at its discretion, terminate the agreement immediately should any of the Terms and Conditions in this contract not be adhered to.

8.4 Regular Hirers will be invoiced monthly. Failure to pay your invoice/s within 14 days of the date of the invoice/s, could result in immediate termination of your contract.

9. Cancellation of Bookings by Massey Matters

Clause 1: Right to Cancel

9.1.1 Massey Matters reserves the right to cancel any booking at their discretion.

9.1.2 Notice Requirement: Massey Matters shall provide the hirer with sufficient notice of any such cancellation. "Sufficient notice" is defined as a minimum of 5 days prior to the scheduled booking date.

9.1.3 Communication of Cancellation: Notice of cancellation will be communicated to the hirer via the phone number and email address provided.

9.1.4 Reason for Cancellation: Massey Matters is not obligated to provide a reason for the cancellation.

9.1.5 Refunds and Rescheduling: In the event of a cancellation by Massey Matters, the hirer is entitled to a full refund of any fees paid. Alternatively, the hirer may reschedule the booking to a mutually agreeable date and time, subject to availability.

Clause 2: Limitation of Liability

9.2.1 Massey Matters shall not be liable for any direct, indirect, or consequential losses or damages incurred by the hirer as a result of the cancellation.
